Meeting Minutes from April 10, 2023

Meeting called to order: 7:11 p.m.
Meeting Minutes for March 13, 2023:
- Paula asked if Louise is still secretary. If not she suggested we nominate someone. • No students allowed on golf cart for insurance reasons (minors). Field commanders shouldn’t use it. • Paula wants April to shadow the Winrods during the process regarding the fair. Minutes approved (1st Paula 2nd Winter) unanimously.
Treasurer’s Report provided by Kathie Davis (from Kent):
- Management Report provided. Winter said all missing receipts accounted for. Paula asked how much is in the bank, but the report didn’t provide that information.
- April said concessions at plays went well, fully attended, and averaged about $250-$350 per show. • Treasurers report approved (1st Winter 2nd Paula) unanimously.
Music Director’s Report by Mr. Winter:
- Family concert went well. The jazz band will be performing Friday night. The marching band meeting is 5/4 to reveal next year’s show. Parent meeting same night. 8th grade going to OEMA large group contest, first time going. May 9 is spring band concert. May 13 is Cedar Point trip. Chase said there are 147 6th graders coming in next year.
Florida Trip Update provided by April Percy:
- Florida is about $1,000 per traveler. CMA comps instructors and directors but wants to look at the next level of comps (Tyler/Ashley). Winter feels like CMA paying for breakfast at Cracker Barrel is a nice thank you. He also asked if the CMA can pay for Ashley and Tyler, it would be about $13 more per traveler if spread amongst paying travelers. Winter said he is happy to share hotel room to save cost. He suggested they pay their ticket and the CMA pays the rest. Paula mentioned the upcoming fundraisers would cover the costs. She said the CMA usually paid for 5 travelers in addition to Cracker Barrel. April concerned with the $6000 needed to cover the six travelers.
- April made a motion to allow the CMA to pay for Cracker Barrell breakfast and half the cost of the six (6) proposed Comps with the travelers coving the cost of the other half. (1st April 2nd Paula) Motion approved unanimously.
Fundraiser Update provided by April Percy:
- The Malley’s fundraiser ended.
- Boyert’s Greenhouse fundraiser proposed mid-April by selling vouchers for hanging baskets and flats, etc. Students take orders and collect money, then deliver voucher and buyers go to Boyert’s to turn in their voucher and pick out their own plants.
Old Business:
- Fair paperwork completed by Winrods.
- Drama play musical fully attended and brought in about $250-$350 per show. Paula said that is about expected.
- Regarding the search for a CMA president, Jason mentioned the speech in the gym about everyone being a CMA member was a good approach. April would like kid performances at meeting, asked Chase about parent contacts. Winter suggested to look at middle school parent volunteers from the concessions list.
- Regarding the 8 beverage hawker trays, April said the tax-exempt form was submitted and requested a credit card with at least $700 available.
New Business:
- Cedar Point: Paula said the CMA usually pays for breakfast (drink and granola bar) and snack (drink, chips, desert) for Cedar Point trip. April asked for shopping list. Expecting about 65 people on trip. Subway is usually purchased for lunch but cost is getting high.
- Memorial Day Parade: Winter estimates 50 marchers. Usually the CMA buys hamburgers/cheeseburgers and fries from McDonalds, in addition to water. Winter said last year Jen Bryant met us in Seville field by post office with the food so check in with her. Parade time at Westfield is 11 AM, Seville is 1. Also need candy for the truck. Winter reminded that popsicles are also needed. April to check with Louise to see if she’s handling.
- Movie Night is this Friday night, voted to watch “Avengers Endgame”.
- Dave Drogell will drive to CP and drive the two parades. Requested Greg Hall join us for instruction. • Golf Cart and Truck Maintenance completed.
- April would like a volunteer appreciation dinner/party. Discussion on whether to have a larger and self funded event or a smaller event that is CMA-funded occurred. April wants the parents to see the appreciation at band parent meeting.
- Jason to look into a shirt reward system for volunteers/chaperones – those with more than just one appearance volunteering. Something like the “Bee Keepers” of Medina but a little better quality.
